Overview

The Faculty Workload Specialist Workload works with the Director of Academic Operations as a member of the Instructional Support team, providing high-level support to deans and instructional divisions. The position supports instructional divisions with all aspects of faculty workload, including faculty loads, contracts, timesheets, and payroll support, and provides additional support to the Class Schedule position.

Duties & Responsibilities

Faculty Workload

  • Collaborates with Human Resources, payroll department, division deans, and department heads to achieve timely and accurate faculty workload processing.
  • Maintains faculty records in PeopleSoft Campus Solutions pillar. Adds new faculty to instructor/advisor table, verifies department and funding assignments, and requests new job instances and/or combination codes from Human Resources as needed.
  • Reviews and updates faculty workload in class schedule, including job and assignment types. Ensures accurate distribution of faculty load for sections with multiple instructors.
  • Calculates quarterly loads for full-time faculty; researches and resolves issues with below-band loads. Calculates, enters, and/or adjusts moonlight loads.
  • Calculates quarterly loads for associate faculty. Calculates Senior Associate loads and enters and/or adjusts assignment types to ensure maximum contractual SA stipend is not exceeded.
  • Receives, reviews, and enters non-instructional reassignments and special assignments in PeopleSoft.
  • Generates faculty contracts. Reviews and notifies the division dean for contract approval.
  • Receives, reviews, and enters coaching assignments in PeopleSoft. Generates contracts and notifies the athletic director for contract approval.
  • Participates in semi-monthly payroll processing in the Faculty Workload module.
  • Serves as a primary contact for faculty workload inquiries from Human Resources, Payroll, division deans, department heads, and faculty.

Faculty Timesheets

  • Reviews and processes faculty timesheets for accuracy and budget coding; routes for signatures. Prepares spreadsheets for payroll processing.
  • Researches and resolves discrepancies reported by faculty, Human Resources, and Payroll.

College in the High School Support

  • Builds and maintains quarterly class schedules for College in the High School (CHS). Collaborates with the Director of High School Partnerships to research and resolve issues.
  • Calculates quarterly loads and generates contracts for College in the High School faculty.
  • Calculates special assignment stipends and generates contracts for CHS faculty mentors.

Administrative Support

  • Assists the AA4 – Class Schedule by building, updating, and publishing classes during peak production cycles
  • Establishes procedures and interprets and applies administrative policies for instructional divisions.
  • Monitors instructional support email accounts; responds to or refers inquiries as appropriate.
  • Attends monthly Instructional Support team meetings.

General Duties

  • Provide general support to the department, division, and campus by performing tasks that enhance the efficiency and effectiveness of the instructional support team.
  • Contribute to departmental and campus-wide projects and initiatives that improve the academic experience for students and faculty.
  • Perform other duties as assigned to support departmental operations and meet the evolving needs of the campus, ensuring a high standard of service and responsiveness.

Qualifications

REQUIRED QUALIFICATIONS

Education and Experience:

(Any equivalent combination Education and Experience)

  • Associate’s degree with coursework related to business administration, accounting, or human resources, or a related field.
  • Two years of full-time experience in administration, education, student support, program coordination, or related experience

Demonstrated Knowledge, Skills, and Abilities:

  • Demonstrated proficiency in handling numerical and financial data.
  • Experience working with spreadsheets, including data entry, formulas, sorting, and filtering.
  • Excellent communication and interpersonal skills, with the ability to clearly convey complex information to faculty, staff, and supervisors.
  • Strong organizational and prioritization skills with the ability to manage multiple tasks and deadlines.
  • Ability to work effectively with diverse populations, fostering positive and collaborative relationships across departments.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in business administration, accounting, human resources, or a closely related field.
  • Experience using PeopleSoft or ctcLink.
  • Experience with computerized payroll processes.
  • Experience working in a community college setting in Washington State

TERMS OF EMPLOYMENT

  • Full-time position, Monday through Friday, with occasional evenings and weekends.
  • Position is subject to Everett Community College policies and procedures.
  • Represented by the Washington Federation of State Employees Union.
  • Performance will be evaluated at the end of a six-month probation period and then annually.
